    Handling

    The goal of this activity is the supervision that terms of contract are fulfilled.

    The contractor management is based on the specifications in the contract, the Project Plan, and the Project Manual. The progress of the contractor must be supervised, and it must be seen to that all deadlines agreed are observed. Furthermore, it must be checked if agreements have been fulfilled and the guaranteed quality assurance measures have been realized. The products delivered by the contractor have to undergo acceptance.

    Questions possibly resulting from ambiguous contractual terms or technical specifications have to be cleared up, too.

    In case orders have been placed simultaneously with several contractors, it is necessary to coordinate their tasks.

    In the case of subcontractors, the consistency to the main contract must be guaranteed.

    Recommendation

    The department in charge of administering the contract is to participate in this activity. This way, it is possible to prevent the actual contractual situation being changed by certain inadvertent actions, tacit permissions or forbearance. For example, if performances that were not ordered or agreed on are unequivocally accepted then this might automatically result in a changed contract.

    A Protocol should be generated of all discussions in which agreements were made between contractor and customer; it must be signed by both parties.
