Handling

The recording of actual status and analysis concentrates on the user-level part. Within the scope of this activity, information about the actual state has to be obtained, analyzed, and documented.

Explanation

This is where an organizational analysis can be realized. The following aspects must be considered in an organizational analysis:

Preparation of organizational analysis (definition of objectives/performance of user-level tasks and analysis depth, generation of corresponding documents for workshops or questionnaires for interviews),

integrating business processes (main and partial business processes have to be separated, interfaces between processes must be defined, business processes must be mapped to an actual state model),

analysis of business processes (actual state model must be evaluated by including the persons in charge of business processes, weak points, e. g. redundancies, delays and the corresponding causes have to be found out. In a very complex business processes a simulation of the actual state model may be helpful for the evaluation.),

evaluation of analysis results (suggestions for improvements must be collected and prioritized, possibilities for IT support, etc., are to be found out).

The analysis results are used as the starting point for the requirements definition of the future structure and process organization of the user, and also as a basis for later business process models and their realization.

Recommendation

An organizational analysis should be taken into particular consideration when the handling of user-level tasks cannot or no longer be guaranteed without effective IT support. While doing so, the possible interactions between organizational development and realization of the corresponding IT support must be absolutely observed since setting up an optimal structure and process organization also are one of the most influential factors for the IT support of the user (e. g. required equipment of workplaces with computers, peripherals, software, network and communications facilities) and since technological improvements in the field of IT may have a direct impact on the possibilities for the organizational structure (e. g. when using process control and archivation systems).
